Changing Your Reservations

You may not change your reservations online. If you would like to change your reservations, please call our Customer Service Center at 1-866-270-2849 for help. You may have to pay a $25 change fee if you decide to change your reservations. If you cancel or change your reservations after the cutoff date certain penalties stated in the cancellation policy section of your reservation may apply. Changes or cancellations made after check-in date are subject to 100% penalty. After check-in you may not cancel or receive credit for unused nights if you should choose to check-out early.

NOTE: You may have to cancel your original reservation and rebook it for different dates. Before doing so we suggest that you first check availability for the different desired dates in order to avoid any disappointment from canceling your first reservations if the different dates are not open.

Cancellation Policies

What is the cancellation policy? If I do not cancel my reservations will I be charged?
Cancellation policies are different for each hotel and are put in effect by hotels to avoid holding an available room for a guest who will not arrive or use it. The hotel will charge a fee (usually one night's room charge plus tax) to the credit card you used to reserve the room, if you do not cancel your reservation within the standard cancellation period. We suggest reviewing the cancellation policy for your hotel carefully while reserving a room. If you have questions/concerns about the cancellation policy for your particular hotel reservation, please call our Customer Care Center for help.

For non-cancelable reservations, no changes or cancellations are permitted once a confirmation number is issued.

My cancellation policy reads "Cancel 24 hours to planned arrival" and I plan on checking in at 11:00 pm. Can I cancel my reservation by 11:00 pm on the day before my arrival?
Cancellation policies are related to the hotel check-in time, not your planned arrival time. If your hotel cancellation policy shows a 24, 48 or 72 hour cancellation policy, it means you must cancel your reservation by 4:00 pm local hotel time of the date in question.

Booking Confirmation

What if I do not receive a confirmation at the time of booking?
If your confirmation page does not show after completing your booking, please check your email for your confirmation. If you do not receive your email confirmation within ten minutes we recommend filling out our request form and a duplicate copy will be emailed to you.

If I do not receive a confirmation email what should I do?
If you do not receive an email after making a reservation, the reason may be that we have a wrong email address or your Internet Service Provider may have blocked the email. If your Internet Service Provider offers a SPAM filter, we recommend checking that folder. Please complete our request form here. Be sure to provide the following information:
  • The name the reservation was booked under
  • The hotel name and location (city)
  • The check-in/check-out dates
After making reservations how long will it take for the hotel to receive my information?
The time it takes for a hotel will be different depending on the specific hotel and arrival date. In most cases the hotel should receive the reservation within an hour, excluding nights and weekends when the hotel reservation department is closed.

Certain reservations are reserved out of an allotment. These rooms are guaranteed and payment will be expected upon check-out of the hotel. In some situations the hotel will not have your name on the reservation until about one week expected to arrival.

We recommend printing out a copy of your receipt and bringing it to the hotel to provide documentation that your reservation has been paid in advance, if you have reserved a discounted prepaid reservation.

What is a Best Rate Hotel?
Best Rate Hotels are special discounted room rates that are designated by a Best Rate Hotels icon next to the hotel listing or it will simply say, INeedAHotel.com Best Rate Guaranteed.
We book large volume of rooms at these hotels to be able to negotiate lower rates that are usually not offered to the public. When reserving a Best Rate room, you can be guaranteed you are getting a fantastic deal as they are covered by our Best Rate Guarantee.

Why are Best Rate Hotels prepaid?
The hotel is able to stretch its best discounts if the reservations are prepaid. By prepaying your reservation you are guaranteed that the price is locked in and you will not have to worry about room rate increases. At the time of the booking, the reserved room is charged to your credit card. Hotels generally collect payment information individually for additional things such as meals, movies, parking, and phone calls. Prepaid reservations are subject to cancellation terms and fees.

What if I found a lower rate than the Best Rate reservation I made through your site?
If you find a lower rate on different website within 24 hours of reserving a Best Rate hotel, simply fill out our Best Rate Guarantee Request Form.
We will match the rate PLUS pay you 10% of the difference in price, if we can verify to our satisfaction that a lower rate is available on a competing travel website.

How will I know if I qualify for a specific rate?
Available rates may include government, corporate, senior and AAA discounts. You may be required to present special documentation to confirm that you are qualified to receive the rate reserved, at the time of check-in,. We recommend referring to the rate description for information regarding ID or membership requirements. Even if you have booked the special rates online, you will not receive special rates at check-in without the needed identification requested.

Can I use coupons from the hotel?
As of now we cannot accept hotel coupons towards your reservation.

Check-in/Check-out Information

What time is check-in at the hotel?
The hotel check-in time is usually after 3:00 pm local hotel time.

If I am arriving later than planned will the hotel hold my room?
The hotel will hold your room until 7:00 am the day after your expected arrival because your reservation is guaranteed with a credit card.

If needed may I arrive early?
Please request early arrival in the special request section of the reservation page. We will make every effort to fulfill your request; however it depends on availability upon arriving at the hotel.

Room Occupancy

What if there will be more than two adults in the room?
Most hotels allow extra guests to stay in the rooms at a fee (usually between $10 - $20 USD per person, per night) assuming the room has not reached the maximum number of guests per room. If you book a room that cannot accommodate your party size, the hotel may cancel your reservation or you may be required to reserve additional rooms. Please note that we will not be held at fault if you book a room type that cannot satisfy your party size.

My children will be traveling with me - do they stay free?
In the United States children under than 12 years of age generally stay without any extra charge in the room using the existing beds. In most other countries only children under the age of three stay free. Age requirements are different depending on the specific hotels policies, which can be found in the hotel information. The hotel has rights to charge extra fees for extra people staying in the room you reserved.

Making Special Requests

If I need a specific type of hotel room (non smoking, handicapped, etc...) what do I do?
There is a special request field on the reservation form to enter your request. We will make every effort to satisfy your request; however they are subject to availability upon arrival at the hotel and cannot be guaranteed.

Refunds

If I check out early on a Best Rate reservation, will I be refunded for the period of time I did not stay?
Upon arrival and check-in at a hotel, it is your decision if you use the period of time you have reserved. Refunds or credits will not be given for any nights reserved, and not used.

Receipts

How can I acquire a receipt for my hotel reservations?
The confirmation email sent to you is your receipt. We suggest that you keep a copy for your personal records. Call our Customer Service Center, if you would like a duplicate copy and give them the following list of information:
  • Guest first/last name
  • Check-in/check-out dates
  • Hotel name
A copy of your reservation confirmation will be sent to you through email.

What credit cards do you accept?
As of now we allow the use of the listed major credit cards: Visa, MasterCard, American Express, and Discover.

When I book my reservation will my credit card be charged?
This depends on the type of rate chosen and the hotel you wish to stay at. If you are reserving a Best Rate hotel you will be charged at the time the reservation is made. The charge includes all service fees stated in the taxes and fees. Refer to the hotel's individual deposit policy, for more detailed information.
